How to Plan an Immersive Learning Pilot That Produces a Real Decision
1. Write the problem in one sentence
Name the learner group, the learning objective and the current barrier. For example: ‘First-year electrical learners cannot repeatedly practise isolation decisions before entering the workshop.’ If the sentence begins with ‘we want to use VR’, the pilot has started in the wrong place.
2. Record the baseline
Use the institution’s current evidence: assessment performance, common errors, instructor interventions, equipment waiting time or learner explanations. A baseline prevents enthusiasm after a novel experience from being mistaken for learning impact.
3. Select the smallest viable experience
Choose one scenario that can be completed in a short teaching sequence. Define what happens before, during and after immersion, including the debrief. Test the content with instructors before learners see it.
4. Prepare staff and safeguards
Assign ownership for charging, updates, accounts, cleaning, storage and first-line support. Provide accessible alternatives and document wellbeing, supervision and privacy controls. Teachers need rehearsal time in the actual room and timetable.
5. Collect decision-quality evidence
Combine learning evidence with operational evidence. Measure the agreed learning objective, then record setup time, interruptions, participation, accessibility and staff workload. Keep the sample and claims proportionate to a pilot.
6. Decide: stop, adapt or scale
Set the threshold before delivery. A pilot may show that the concept works but the content, hardware model or teaching sequence needs revision. Scaling should follow demonstrated educational value and operational fit — not sunk cost.
XRPK Solutions can facilitate this process through a focused education pilot for schools, VET providers and technical colleges.
